Inspection setup

The workflow should define the project, inspection type, date and time, inspector, attendees, inspection area, drawings or references, client, report template and required approvals — before anyone sets foot on site.

On-site capture

Inspectors should be able to record photographs, voice notes, written observations, location, category, severity, status, responsible party, due date, recommendation, the relevant drawing or specification, and a payment-item reference where applicable.

The capture process must work on the device actually used on site — typically a phone or tablet, sometimes with gloves on, often with patchy signal. A practical method is described in turning site photos and voice notes into client-ready reports.

Finding review

Before a finding enters the final report, the inspector should be able to check the description, evidence, location, severity, recommendation, responsibility, due date, supporting references and any confidentiality or sensitivity issues.

AI may assist with structuring the finding. The inspector approves it.

Registers and summaries

The system should generate the findings register, action register, severity summary, outstanding-item summary, responsible-party summary, photo appendix and executive summary — all from the same set of approved findings, not from separate spreadsheets that drift out of sync.

Report output

The report should follow the organisation’s or client’s required format, including cover page, project details, executive summary, inspection scope, findings, photographs, actions, appendices, disclaimers, branding and approval details.

Data hosting and security

Ask where data is stored, where it is processed, how mobile access is secured, how client and project permissions are controlled, whether information is used to train public models, what audit trail exists, and how data is retained or deleted.

Microsoft integration

Most project businesses already run on Teams, SharePoint and Microsoft 365, so ask:

  • Can the workflow be accessed through Teams?
  • Can project documents be referenced from SharePoint?
  • Can the report be exported to Word or PDF?
  • Can existing identity and permissions be used?
  • Will inspectors need another standalone login?
  • Can approved reports be retained in the existing document system?

Mobile usability

The on-site interface should be designed for gloved or one-handed use where relevant, fast photo capture, voice entry, poor connectivity, minimal typing, clear status indicators and a simple review before submission.

If inspectors will not use it in the rain on a Friday afternoon, it does not matter what else it does.

Good inspection reporting software should reduce report-preparation time, improve evidence quality, standardise findings, speed up action assignment, reduce information loss, improve traceability, produce consistent client-ready reports and keep inspectors focused on the site.
